Program Assistant – Assertive Community
Treatment (ACT) Team
Position Summary
The Program Administrative Assistant is responsible for general management
tasks assigned by the Program Director including answering the telephone,
responding to client requests, data entry for IMA, and billing for the program.
Hours of Work
The Program Assistant works 35 hours a week.
Specific Duties
The Program Assistant is responsible for:
- Providing administrative support to the Program Director and staff.
- Preparing general correspondence for the Program Director.
- Maintaining statistical data on type, amount and provider treatment and
rehabilitative services. Prepares reports including staff statistics,
batch/billing reports, program monthly report and others as requested by
the Program director.
- Maintaining case list, including information on treatment plan reviews, and
provides monthly report to the Director.
- Preparing and completing Monthly Internal Audit.
- Responding to incoming calls during program hours; also responsible for
taking messages from voicemail box and delivering to staff.
- Entering all appointments in IMA.
- Ensuring availability of forms.
- Monitoring and procuring general program supplies.
- Distributing mail to staff.
- Collecting and preparing timesheets for program director.
- Maintaining files and file directory.
- Other designated duties.
Qualifications
The Program Administrative Assistant must have two years or more of college,
be proficient in word processing skills and be able to maintain and manage a
database. He/she must be able to work independently and demonstrate initiative
and good judgment. Confidentiality must be maintained on all client information.
Candidates must consent to Fingerprinting and a Criminal History Information
Records search.
Reporting Relationship
The Program Assistant reports to the Team Leader.
